Sharing the report

There are several options to share reports with your Inventory Base account.

The easiest way is to set up the client or recipient, either in the client section where they’re automatically receive the report once a report has been marked complete or as a contact so that they either receive the report to either sign if they’re a tenant, notify if it’s an interim inspection, or perhaps check out and deliver the completed report.

So that’s the most efficient way of doing it, so that creates less steps for you from a manual point of view and ensures that all reports are shared as and when you want them to be.

You’ve also got the option to share the report by clicking on the downward next to view report and then click on ‘share report’. You can add the recipient’s email address or select contact, and then add any message that you want to send to them in regards to any instructions or advice or guidance.

You can also create a PDF of the report, as you can see here is generating the PDF, which you can then download once ready, and then that then can be attached if you prefer to an email depending on your system or add to a different system depending on how you run your service.

What I would advise is though, it’s much simpler and more efficient to create the contact or create the client to send it automatically rather than having to do it manually, but of course you have the option with Inventory Base.

So that’s how you share your reports and for added information and audit function, you’ll see any sharing of reports added into your info area and also under the share history tab where again, you’ll be able to see when the report was shared and also the fact that it’s been completed and that the contact has been informed this way.

This way, then should there be a dispute, should there be an issue with the recipient saying they never received it or it didn’t arrive or didn’t see it, you’ll be able to see all the activity and be able to deal with those issues using that function with the Inventory Base.
